Answer
- Go to SCTJML_Charges in Circulation/Overdues list
- Click 'Edit’ button upper/left to change parameters
- Edit ‘Due between dates’ to find only books from previous term or earlier i.e Lost Items Summer Term 2018 dates were set from 5 October, 2017 – 12 Feb 2018 (the last due date for books borrowed in 2017)
- Print list
- Open Copy Record for each book in turn
- Open or create Excel spreadsheet from Debtor Charges Import-Template[NEW], which is stored in Staff_Shared/Library/{current year}/Budgets/Library charges and rename it, referring to current term i.e. JML Lost Items Summer 2018
- Enter student name (firstname, lastname), student ID, transaction date, transaction amount (derived from ‘cost’ field in copy record), item type/item name/barcode i.e.
- Save spreadsheet
- Return the book in the Circulation screen
- Return to Copy Record for that book, choose ‘Edit’
- Change status to ‘LOST’
- In ‘Status Reason’ enter details for future reference i.e. 10/04/2018 Lost by John Snew 169711 and charged in JML Lost Items Summer 2018 – SM (‘SM’ being initials of staff member entering)
- Cut-off for returns is currently 4pm on last day of term. After the cut-off, print the list and check that none of the books are in the libraries. This is the final check.
- Send the spreadsheet to Debbie McConnell in Accounts
- Send a copy to JML staff, Brad and Kate for their info and any re-ordering
