Answer

  1. Go to SCTJML_Charges in Circulation/Overdues list
  2. Click 'Edit’ button upper/left to change parameters
  3. Edit ‘Due between dates’ to find only books from previous term or earlier i.e Lost Items Summer Term 2018 dates were set from 5 October, 2017 – 12 Feb 2018 (the last due date for books borrowed in 2017)
  4. Print list
  5. Open Copy Record for each book in turn
  6. Open or create Excel spreadsheet from Debtor Charges Import-Template[NEW], which is stored in Staff_Shared/Library/{current year}/Budgets/Library charges and rename it, referring to current term i.e. JML Lost Items Summer 2018
  7. Enter student name (firstname, lastname), student ID, transaction date, transaction amount (derived from ‘cost’ field in copy record), item type/item name/barcode i.e. 
  8. Save spreadsheet
  9. Return the book in the Circulation screen
  10. Return to Copy Record for that book, choose ‘Edit’
  11. Change status to ‘LOST’
  12. In ‘Status Reason’ enter details for future reference i.e. 10/04/2018 Lost by John Snew 169711 and charged in JML Lost Items Summer 2018 – SM  (‘SM’ being initials of staff member entering)
  13. Cut-off for returns is currently 4pm on last day of term. After the cut-off, print the list and check that none of the books are in the libraries. This is the final check.
  14. Send the spreadsheet to Debbie McConnell in Accounts
  15. Send a copy to JML staff, Brad and Kate for their info and any re-ordering
