Junior Middle Library Book Ordering

Online Purchases

  1. Teacher Librarians add books to website wishlists (Technicians can suggest titles to Teacher Librarians)

  2. On Thursdays, the Library Technicians check for duplicates in the catalogue and the shared online Word  document (JML Book Orders 2019) and remove any that aren't necessary after consulting with Teacher Librarians.
  3. On Fridays, the Senior Librarian logs into each website account and completes the purchases, creating a purchase order, adding amounts to budget sheets, and adding the titles to the shared Word  document at the same time.
  4. Library Technicians add the names of any students who wish to reserve the ordered books to the shared Word  document in a dot point list after the title.
  5. As the books arrive, the Library Technicians process, catalogue, cover and change the copy status between Processing/Available when complete.
  6. Library Technicians search shared Word  document for returned titles to see if there are any reservations on them.
  7. Reserved books are issued to the first student listed in the shared Word  document and then any remaining reservations are added to the record in Oliver.
  8. Remaining books are given to the Teacher Librarians for promotion/adding extra desired headings.

 

Books on Appro

  1. Teacher Librarians look through and select books brought in by suppliers.
  2. Library Technicians search the Library Management System and shared Word  document for the selected books by title and author for duplicates and provide feedback to Teacher Librarians.
  3. Teacher Librarians let Library Technicians know when they are ready for purchase​ and the Technicians request a purchase order from the Senior Librarian through Desk, which is printed and added to the appro box for the supplier or emailed to them if there are no appro items to return.
  4. Library Technicians add the selected titles to the shared Word  document, along with the names of any students who wish to reserve them.
  5. As the books arrive, the Library Technicians process, catalogue, cover and change the copy status between Processing/Available when complete.
  6. Library Technicians search shared Word  document for returned titles to see if there are any reservations on them.
  7. Reserved books are issued to the first student listed in the shared Word  document and then any remaining reservations are added to the record in the Library Management System.
  8. Remaining books are given to the Teacher Librarians for promotion/adding extra desired headings.

 

 

Senior Library Book Ordering

The Senior Librarian monitors upcoming releases, series' gaps, student interests, popular books and books requiring replacement and purchases these. Additional titles are submitted by staff:

  1. Teacher Librarians, and occasionally teachers, email requests to library@scotch.wa.edu.au.
  2. Senior Librarian checks for existing copies and provides feedback to staff member if there are suitability issues (ie. non-fiction book for a topic that we don't study, whether the item should be a department resource and purchased from their budget).
  3. Senior Librarian populates wishlists/carts and completes the purchase using the following accounts:
    • Westbooks - Kate.Flowers@scotch.wa.edu.au
    • Booktopia - Libadmin@scotch.wa.edu.au
    • Book Depository - Libadmin@scotch.wa.edu.au
  4. Senior Librarian creates a purchase order and receives it when the items arrive, and adds the amounts to the budget spreadsheet.
  5. As the books arrive, the Senior Librarian processes, catalogues and covers them.
  6. Books are given to the Teacher Librarians for promotion, or issued and given to the requesting teacher.
  7. Desk ticket is resolved.
